Importing your existing data

BoldSales lets you import external data into the CRM easily and accurately. Whether you’re moving from another system or updating existing records, you can upload well-structured CSV or Excel files, map fields, validate data, and complete the import in just a few steps. You can import data into Contacts, Companies, Users, and Pipelines.

If your records are spread across spreadsheets or different tools, you can import them into BoldSales to centralize and organize your data.

When growing your team or rolling out BoldSales to new departments, use the import feature to bulk add users.

Migrating from another CRM

Export your data from the previous CRM into a CSV or Excel file, then import it into BoldSales. You can migrate pipelines, contacts, and companies to seamlessly set up your sales workflows and maintain your existing relationships.

What can you import?

You can import records for following modules:

  • Contacts
  • Companies
  • Users
  • Pipeline records

How to import your data?

Note: You must have the Manage import and Manage module and fields (required for adding fields or options) permission enabled in your permission set under Setup and Management. Contact your CRM administrator to request access if you do not have this permission.

Uploading the file

The file must meet the following criteria:

  • Should be of type .CSV or .XLSX
  • Maximum size: 20 MB
  • Maximum rows: 5,000

Once confirmed,

  • Go to Setup > Data Management > Import and click Import.
  • Select the module (e.g., Contacts, Companies, Users, or Pipelines).
  • Alternatively, each module also provides a direct import option. On the listing pages, next to the + {Module} button at the top-right of the listing page, click the dropdown and select Import {Module}.
  • In the Import name field, enter a descriptive name for your import. If no name is given, the uploaded file name will be taken.
  • Use Click to upload and select a .csv or .xlsx file from your device.

Choosing whether to add new records or update the existing records

After uploading your file, choose how BoldSales should process the records. It offers two modes:

Add records

  • Use this to add new records into the module.
  • Optionally, to avoid importing duplicate records, choose the field under Skip records that match existing records by (e.g., Email, Record ID). This option skips any row where the chosen field’s value already exists in the BoldSales, preventing duplicate records from being imported.

Update existing records

  • Use this mode to modify existing records with updated information from your file. This is useful when importing revised record details, such as updated addresses, phone numbers, or other fields.
  • Before proceeding to data mapping, you must select a field under Match existing records by to identify which records should be updated.

Mapping your data to the BoldSales

  • After uploading your file and choosing whether to add or update the records, click Next to open the Data Mapping tab.
  • BoldSales displays your file’s columns under Column in file and attempts to auto-map them to BoldSales fields if both the texts match. However, we recommend reviewing each mapping carefully before proceeding.
  • Use the dropdown to manually map the correct BoldSales fields if needed.
  • If the required field is not listed in the dropdown, click Add field to create a new custom field directly from the mapping screen. In the drawer, define the field name, type, and other properties.
  • Likewise, selectable options for fields like single-select dropdown are also mapped automatically when the options exactly match with the options in the file’s column. When they do not match, an error appears under the respective mapping row. Click View details to map them properly.
  • If the selected options in your file don’t exactly match the existing selectable options in the BoldSales for the fields like single-select dropdown, you can either update them in your file to match or click Add option in the mapping dropdown to create new selectable values and map them.
  • To exclude a column from import, toggle off Import this column.
  • If columns are left unmapped, BoldSales will ask if you want to skip them and proceed with the import.
  • Make sure your file includes the following fields and they are mapped with the BoldSales fields. Additionally, if a field was selected for skipping duplicates or updating existing records in the previous step, it is mandatory to include and map that field too during the import process.

  • Once validations are completed, click Import. If there are no issues, you’ll be redirected to a page where you can track the status of your import.

Frequently asked questions (FAQs)

Can I undo an import when completed?

No. Once imported, data cannot be undone. You can bulk-delete manually if needed.

Can I import data directly from another CRM?

Currently, BoldSales supports file-based import only. However, you can export data from your old CRM into a CSV or XLSX file before importing it.

What happens if there are errors in my file?

Before import, BoldSales highlights mapping issues. During import, rows with invalid data will be skipped.

Can I update existing records?

Yes. Choose Update existing [Module Name] during import and select a field under Match existing records by (e.g., Email or Record Id). BoldSales will use this field to identify and update matching records.

Where can I view import history?

Go to the Import page to view all past imports. Each entry includes details such as status, created on, created by, and number of records processed.
