Import Users

Importing users in BoldSales helps keep team information organized and up to date. The guide explains how to upload a file, map user details, and choose whether to add new users or update existing ones. It also highlights required permissions, file rules, and steps for checking import status.

Use cases

Correcting email domain changes

Company-wide rebranding or domain changes can be applied to all users through a single import process.

Introducing a new department or team

When a new department is formed, all team members can be created at once with the correct roles and access.

Bulk onboarding of new hires

When multiple employees join at the same time, administrators can create all user accounts in one import with the correct roles, teams, and reporting managers.

Note for non-admin users: If you don’t have access to Manage import, contact your BoldSales administrator to request the required permission.

Accessing users

  1. Go to Setup from the left sidebar menu.
  2. Scroll to the Users and Teams section and select Users.
  3. Alternatively, use the search bar in Setup and type Users and select from the results.

Importing users

  1. Click the dropdown next to the + Invite User button at the top right.

  2. Select Import Users from the dropdown menu which opens the Import Users page.

  3. Alternatively, Go to Setup > Data Management > Import. Click Import at the top right and select Users from the menu.

Upload the file

Import name: Enter a descriptive name for this import. If no name is given, the uploaded file name will be taken.

Upload file: select Click to upload and select a file from your device.

The file must meet the following criteria:

  • File type should either be .xlsx, .csv
  • File size must be 20MB or less.
  • Maximum rows: 5,000.

Choose whether to add new users or update existing users

After uploading your file, choose how BoldSales should process the data in your file. It offers two modes:

Add users
  • Select Add Users option to invite new users into BoldSales.
  • Optionally, to avoid importing duplicate users, choose the field under Skip Users that match existing records by (e.g., email address or record ID). This option skips any row where the chosen field’s value already exists.

Note: If you select Record ID under Skip users that match existing records by, note the following:

  • To find a user’s Record ID, open the user record and check the browser’s URL. The numeric value at the end of the URL represents the Record ID.
  • The Record ID is a system generated, read only field automatically created by BoldSales CRM when a user record is added
  • You cannot add a Record ID column to the import file, as Record IDs cannot be created or modified manually.
Update existing users
  • Select Update existing Users to modify existing user profiles with updated information from your file. This is useful when importing revised user details, such as name, email address, etc.
  • You must select a field under Match existing records by to identify which records should be updated before proceeding to data mapping.

Map your data to BoldSales

  1. After uploading your file and choosing whether to add or update users, click on or select the Data Mapping tab to open the mapping interface.
  2. BoldSales displays your file’s columns under Column in file and attempts to auto-map them to the corresponding fields under the User field column, if both the texts match. However, we recommend reviewing each mapping carefully before proceeding.
  3. Use the dropdown to manually map the correct user fields.
  4. If a field was selected for skipping duplicates or updating existing records in the previous step (Email address or Record ID), it is mandatory to include and map that field during the import process.
  5. Ensure the email address field is mapped for the import to proceed since it’s a mandatory field.
  6. To exclude a column from import, turn off Import this column toggle for that specific field.
  7. Once validations are completed, click on Click Import to start the import process in the top-right corner. If some columns are left unmapped, BoldSales will ask if you want to skip them and proceed with the import.

View import status

After the import is initiated, you are redirected to the Import listing page.

This page displays:

  • Total records – Total number of rows in the uploaded file
  • New records – User newly added
  • Updated records – Existing user details that were modified
  • Skipped records – Records skipped due to duplicates or validation errors

Click the import name to open the import details page.

  • Count of new, updated, and skipped records
  • Reasons for skipping records, if any

Frequently asked questions (FAQs)

Can I undo an import?

No, imports cannot be undone. However, you can correct errors by re-importing with updated data.
