Notification rules in BoldSales are automated email alerts that keep users informed about key actions, so they never miss important updates in the daily sales activities. These rules help to stay organized, respond quickly, and maintain visibility across the organization.

Get instant alerts when you’re assigned as the owner of records such as a contact or deal, so you can act quickly.

Never miss deadlines or meetings

Receive task and event reminders to stay organized and avoid last-minute rushes.

Get notified when a quote’s status changes, helping users follow up promptly and keep deals moving.

Gain visibility into related activity

Notify the primary company owner when contacts or deals linked to their company are updated.

Types of notification rules

System notification rules

System notification rules are built-in email alerts that keep users informed about common actions in the sales process. These rules apply to all users by default and cannot be edited or deleted. Users can turn them on or off unless they are set as mandatory.

Navigate to Setup > Automation > Notification Rules to access the list of all system notification rules.

Shared notification rules

Shared notification rules are customizable email alerts that keep users informed about important activities across BoldSales. These notifications apply to all users in the organization and can be triggered by actions such as record creation, updates, deletions, or date/time-based events. You can further refine when a rule executes by adding conditions, ensuring alerts are sent only for relevant scenarios. With support for dynamic recipients like record owners or creators, shared notifications enable timely, consistent communication.

To access and create a shared notification rule,

  • Navigate to Setup > Automation > Notification Rules.
  • Click + Create Shared Notification Rule.
  • Select trigger module, type, add conditions, then configure email.

Private notification rules

Private notification rules are personalized alerts created for your own use. Notifications are sent only to you (the rule creator) based on the selected triggers and conditions. Other users may be able to view or manage these rules only if they have the required permissions.

To access and create a private notification rule,

  • Navigate to Setup > Automation > Notification Rules. Then go to My Private Notification Rules tab.
  • Click + Create Private Notification Rule.
  • Select trigger module, type, add conditions, then configure email.
