Import Pipeline Records

Importing pipeline records makes it easy to add new entries or update existing ones in bulk. The guide explains how to upload a file, choose the import mode, map fields, and review the results after the import. It also outlines required permissions, file rules, and how to track the status of each import.

Moving pipeline records from another system

Pipeline records from another platform can be imported to keep all records in one place.

Cleaning or reorganizing pipeline data

If pipeline records need corrections or adjustments, updates can be made in bulk through import.

Mass updating values during pricing or policy changes

When pricing models, currencies, probability percentages, or contract terms change, pipeline records can be updated in bulk to stay aligned with current policies.

Note for non-admin users: If you don’t have access to configure or manage Import and view Manage module and fields for Pipelines, contact your BoldSales administrator to request the required permission.

Importing pipeline records

  1. Go to the Pipelines from the left sidebar and select the specific pipeline from the menu.
  2. Locate the + [X] button at the top‑right.
  3. Click the dropdown next to the button and select Import [X], where X represents the name of the pipeline.

  4. Alternatively, you can go to Setup > Data Management > Import, click the Import button at the top- right, and select the specific pipeline from the dropdown menu.

Uploading the file

Import name: Enter a descriptive name for this import. If no name is given, the name of the uploaded file will be taken.

Upload file: Select Click to upload and select a file from your device.

The file must meet the following criteria:

  • Supported formats: .xlsx, .csv
  • File size must be 20MB or less.
  • Maximum rows: 5,000

Choosing whether to add new pipeline records or update the existing pipeline records

After uploading your file, choose how BoldSales should process the records. It offers two modes:

Add pipelines
  1. Select Add Pipelines option to add new pipeline records.
  2. Optionally, to avoid importing duplicate pipeline records, choose the field under Skip Pipelines that match existing records by (e.g. record id). This option skips any row where the chosen field’s value already exists.

  1. Use this mode to modify existing records with updated information from your file.
  2. Before proceeding to data mapping, you must select a field under Match existing records by to identify which records should be updated.

Mapping your data to the BoldSales

  1. After uploading your file and choosing whether to add or update the pipeline records, click Click Import to start the import process to open the Data Mapping tab.
  2. BoldSales displays your file’s columns under Column in file and attempts to auto-map them to BoldSales fields if both the texts match. However, we recommend reviewing each mapping carefully before proceeding.
  3. Use the dropdown to manually map the correct BoldSales fields if needed.
  4. If the required field is not listed in the dropdown, click Add field to create a new custom field directly from the mapping screen. In the drawer, define the field name, type, and other properties.
  5. Likewise, selectable options for fields like single-select dropdown are also mapped automatically when the options exactly match with the options in the file’s column. When they do not match, an error appears under the respective mapping row. Click View details to map them properly.
  6. If the selected options in your file don’t exactly match the existing selectable options in the BoldSales for the fields like single-select dropdown, you can either update them in your file to match or click Add option in the mapping dropdown to create new selectable values and map them.
  7. To exclude a column from the import, turn off the Import this column toggle for that specific field.
  8. If columns are left unmapped, BoldSales will ask if you want to skip them and proceed with the import.
  9. Make sure your file includes the Name and Stage fields and they are mapped with the pipeline’s fields. Additionally, if a field was selected for skipping duplicates or updating existing pipeline records in the previous step, it is mandatory to include and map that field too during the import process.
  10. Once validations are completed, click Click Import to start the import process. If there are no issues, you’ll be redirected to a page where you can track the status of your import.

View import status

  • After clicking Click Import to start the import process, you are taken to the Import listing page.

  • This page displays all your import details such as,

    • Total records – The total number of rows in your uploaded file.
    • New records – Pipeline records that are added because they didn’t already exist.
    • Updated records – Existing pipeline records that are found and updated.
    • Skipped records – Rows that are not imported due to duplicates or validation issues.
  • Use this page to monitor the status of your imports and verify the results.

  • Click the import name to open the detailed view for that import.

  • The details page shows the number of new records added, number of updated records and number of skipped records (if any), along with the reasons for skipping.


Frequently asked questions (FAQs)

Can I undo an import?

No, imports cannot be undone. Always review your file and mappings before submitting.

Can I import pipeline records with missing optional fields?

Yes. Optional fields can be left blank. However, required fields such as Name and Stage must be present and correctly mapped.

Can I import records into multiple pipelines at once?

No. Each import can only target one specific pipeline. If you need to import records into multiple pipelines, you must run separate imports.

What happens if I map the wrong field accidentally?

If the import is completed with incorrect mappings, the changes will be applied and cannot be undone. You’ll need to correct the data and run a new import to fix the records.

Can I reuse the same file for future imports?

Yes, as long as the file structure matches the pipeline fields and the data is updated appropriately for the new import.
