Managing permissions to view, edit, and delete records
Permission sets define what users can access and do within BoldSales. This guide explains how view, edit, and delete permissions can be controlled.
You must have Manage permissions access enabled in your permission set under Setup > Permission sets > Your permission set > Setup and Management. Contact your BoldSales administrator to request access if you do not have this permission.
Accessing permission sets
- Go to Setup from the left sidebar menu.
- Scroll to the Security section and select Permission Sets.
- Alternatively, use the search bar in Setup and type Permission Sets and click to select.
There are two system permission sets that come built-in with BoldSales:
- Admin – Full access to all modules and settings.
- Standard User – Full record access while restricting setup and configuration access.
These system permission sets are not editable.
Creating a custom permission set
In addition to the system permission sets, you can create custom permission sets and customize the access levels.
- Go to Setup > Security > Permission Sets.
- Click + Create Permission Set.
- Fill in the permission set name, description, clone from fields.
- Click Create.
Adding a user to a permission set
To assign users to a permission set:
- Go to Setup > Security > Permission Sets.
- Locate the permission set you want to update.
- Click the Assign users icon next to the User count column.
- Alternatively, open the permission set’s details page, go to Manage users section, and click Assign Users in the top-right.
- In both, a drawer will open showing available users. Select the users by checking the boxes next to their names.
- Click Assign (X), where X is the number of users to assign.
A user can be assigned to only one permission set at a time.
Configuring access levels
To configure access levels:
- Go to the permission sets’ details page.
- On the details page, find the Access section.
- Select a module (Contacts, Companies, etc.)
- When you click a module, a section opens on the right displaying the available access levels for that module.
To customize view, edit, and delete permissions, module access must be enabled. Module access can be enabled or disabled at the top of the respective module section.
Pipelines, contacts, companies, products, sales documents, tasks, and events modules support configuring view, edit, and delete permissions. For notes and calls, view access is granted to all records if there is module access. However, edit and delete permissions can be controlled.
View
The view access level determines which records users in the permission set can see within a module.
All records
Users can view all the records in the module without any restriction.
Own records
Users can view only records assigned to themselves and unassigned records. No access to records in which other users are owners.
Team records
Teams group users who work together within BoldSales. Team-based access allows users to collaborate on records owned by their team.
With team-based access, users can view records assigned to members of the same team, their own records, and unassigned records. Records owned by users in other teams are not visible.
Role records
Roles define the reporting structure in BoldSales and determine how users are organized within an organization. Each user can be assigned a role, and roles can have parent and child relationships.
With role-based access, users can view their own records, records owned by users in child roles, and unassigned records.
Team and role records
This option is a combination of team-based and role-based access. Users can access their own records, records assigned to their team, records owned by users in child roles, and unassigned records.
