Managing tags
Tags in BoldSales help you categorize and quickly identify records across different modules. You can create tags with custom names and colors, and assign them to specific modules for easy organization. This guide explains how to create tags, add them to records, and use them as filter conditions to streamline your search and improve record management.
Use cases
Contact prioritization
Tag contacts as a Hot lead for quick prioritization.
Urgency level
Use tags like High priority to focus on critical deals.
Status tracking
Use tags like In discussion or Negotiation to quickly understand the current stage of a deal at a glance.
You must have Manage tags permission enabled in your permission set under Setup > Permission sets > Your permission set > Setup and Management. Contact your BoldSales administrator to request access if you do not have this permission.
Creating a tag
To create a tag:

Go to Setup from the left sidebar.

Scroll to the Data Labels and Tags section and select Tags or use the search bar and type Tags.

Click + Create Tag at the top-right corner of the tags listing page.

A dialog box will appear. Fill in the details:
Tag name*: Enter a name for the tag.
Choose a tag color: Select a color to visually identify the tag.
Select applicable modules: Choose the modules where the tag will be available for use. Tags are applicable to Contacts, Companies, Pipelines, and Notes modules.
Tags in the record details page
The created tags are available only in the modules you selected during creation.
To edit tags on a record’s details page, you must have Edit permission for the record.
Adding tags to a record
To add a tag to a record:
- Go to the desired module (e.g., Contacts).
- Open the details page of the record.
- Locate the Tags section and click Edit.
- Available tags will be listed in the dropdown. Select the desired tag(s) by checking the boxes next to their names.
- Click Save.
Removing a tag from a record
To remove a tag from a record:
- Open the record where the tag is applied.
- Locate the Tags section and click Edit.
- Uncheck the box next to the tag you want to remove.
- Click Update.
Tags in notes
Tags can also be applied to Notes for better organization.
To add tags to a note:
- Go to Activities > Notes from the left sidebar.
- Locate the note you want to tag.
- Click the action menu next to the note and select Edit tags from the menu.
- In the dialog box, search and select the tags you want to apply.
- Click Update.
Alternatively, you can add tags to notes from a record’s details page in the Notes tab by following the same procedure.
Tags in filters
Tags can be used in filters to quickly locate records.
To filter records by tags:
- Go to the module’s listing page (e.g., Contacts, Companies, Pipelines).
- Click the Filter button at the top-right.
- In the filter drawer, search for Tags in the Select a field placeholder.
- Choose an operator:
In – Records that have any of the selected tags.
All – Records that have all the selected tags. - Select the tag(s) you want to filter by checking the boxes in the dropdown.
- Click Apply to view the filtered records.
Tags in workflow rules
Tags can be used as conditions and actions in workflow automation:
As a condition
When creating a workflow, after setting the trigger module and trigger type, you can add conditions and select Tags as a field. This allows the workflow to apply only to records that match the specified tag criteria.
As an action
After the trigger conditions are met, the workflow can add, remove, or overwrite tags on the record as part of the action execution.
The available tag actions are:
- Add tags – Adds the selected tags to the record without affecting existing tags.
- Remove tags – Removes the selected tags from the record.
- Overwrite tags – Removes all existing tags and applies only the selected tags.
Tags in notification rules
- Tags can be added as conditions when creating either shared or private notification rules.
- Click Add Condition during notification rule creation and select Tags as the field. This ensures the notification is triggered only for records that match the specified tags.
