Managing Pipeline Stages
Pipeline stages in BoldSales represent the steps a pipeline record, such as a deal, moves through in your sales process. Each stage reflects the current progress of a record from initial contact to a win or a loss.
Each pipeline can have its own set of stages. This allows you to define different workflows for different sales processes, products, or teams.
You can configure open and closed stages to match your business process and ensure accurate tracking and reporting across pipelines.
This article explains how to access, manage, and organize pipeline stages in Setup.
Note for non-admin users: If you don’t have access to view Manage module and fields in Setup, contact your BoldSales administrator to request the required permission.
Note for administrators: For managing permissions, refer to Managing User Permissions (Permission Set).
Accessing the pipeline stages
To open and manage pipeline stages:
-
Go to Setup > Modules and Fields > Pipelines or use the search bar in Setup and type Pipelines, and select it from the results.
-
Under Manage Pipelines, choose the pipeline you want to update.
-
Open the Stages tab to view and manage stages for that specific pipeline.
Managing stages
The Stages tab displays all stages configured for the selected pipeline. Stages are grouped into two categories: Open Stages and Closed Stages. The tab also shows the total number of stages in each category (e.g., Open Stages 4 | Closed Stages 2). You can manage the stages of a pipeline from the Manage Stages drawer.
- Click Manage Stages. It opens a drawer displaying two sections: Open Stages and Closed Stages.
Open stages
Open stages define the active phases of your sales process. When a record is in an open stage, it means the opportunity is still progressing and has not yet reached a final outcome.
These stages typically represent steps such as qualification, proposal, or negotiation, based on your pipeline workflow.
- To add a new open stage, click Add stage in the Open Stages section.
- Each pipeline must have at least one open stage at all times.
Closed stages
Closed stages represent the final outcomes of your sales process. When a record moves to a closed stage, it means the opportunity has been completed and is no longer active.
Closed stages typically indicate outcomes such as Won or Lost, based on how the pipeline record such as a deal was finalized.
- To add a new closed stage, click Add closed stage in the Closed Stages section.
- You’ll see an outcome dropdown next to the stage name. Use this dropdown to define whether the stage you are adding or editing represents a Won or Lost result.
- Each pipeline must have at least one won stage.
Reorder stages
Use this option to adjust the order of your open or closed stages so they match your workflow. To reorder:
- In the Manage Stages drawer, you can reorder both Open Stages and Closed Stages.
- Depending on which type of stage (open or closed) you want to reorder, click Reorder in the respective section.
- A drawer will open.
- Drag the stages to arrange them according to your sales or business process.
- Click Apply to save the new order. You can also click Reset to undo your changes before applying.
Delete a stage
You can delete an open or closed stage from the Manage Stages drawer.
- In the drawer, locate the stage you want to remove.
- Click the
icon next to that stage.
You can only delete a stage that is not currently used in active records.
