Introduction to Tasks
Tasks are action items used to track follow-ups, reminders, and work that needs attention. They help you stay organized and focused throughout the sales process by ensuring important actions such as contacting leads, scheduling meetings, sending proposals are completed on time.
Note for non-admin users: If you don’t have access to configure or manage Tasks, contact your BoldSales administrator to request the required permission.
Note for administrators: For managing permissions, refer to Understanding permissions in activities module.
Navigating to tasks
You can access tasks primarily through the Activities module.
- Go to Activities module in the left sidebar and select Tasks from the menu.
- Alternatively, use the keyboard shortcut G + T.
The tasks page allows you to view all the tasks in one place, create new tasks, apply filters to focus on specific items, switch between views, edit existing tasks, and track progress using Status field.
You can also view tasks in the associated records’ details pages:
- Open the contact, company, or pipeline record.
- Go to its Tasks tab.
- View all tasks linked to that record in grid or calendar view, grouped by type (General, Follow-up, To-do).
- Filter them using options like All tasks, Overdue tasks, Today’s tasks, Upcoming tasks, and Completed tasks.
Task types in BoldSales
BoldSales comes with three built-in system task types to help you organize your work:
- General – For everyday tasks like preparing a proposal or scheduling a meeting.
- Follow-up – For tasks after an interaction, such as checking in after a demo or sending more details.
- To-do – For personal tasks that keep you on track, like updating a record or reviewing a document.
You can add new task types or edit the existing ones to match your business processes. This can be done by customizing the Type field options in tasks fields setup. You will need permission to add these options.
Key tasks details
When creating a task, you need to provide essential information, so the task is clear and actionable. These details include:
- Subject: A short title that explains what the task is about.
- Due date: The deadline for completing the task.
- Priority: Indicates how urgent the task is (e.g., High, Medium, Low).
- Owner: The person responsible for completing the task.
- Type: Choose whether it’s a General, Follow-up, or To-do task.
- Status: Shows the progress of the task (e.g., Open, In Progress, Completed).
- Description: Include additional task details
- Click Associate records to link contacts, companies, or pipeline records to the task for easier tracking and timely action.

How tasks keep your work organized
Calendar view
Visualize your task schedule in a calendar format for a better planning and time management. This view gives you a clear picture of upcoming tasks and helps you avoid conflicts.
To switch to calendar view:
- Click the Grid view dropdown at the top-right section.
- Select Calendar view from the dropdown.

Views with filters
Tasks help you stay on top of your work by grouping everything in easy-to-view lists. You can use ready-made views or create your own custom views to focus on what matters most. Each view includes filters so you can quickly find the tasks you need.
- Locate the Views panel on the left side of the tasks listing page.
- Choose a default view like All tasks, My tasks, Overdue tasks, Upcoming tasks, Today’s tasks, Completed tasks, or Collaborative tasks.
- Click Create to make a custom view with filters for the tasks you work on most often.

Task reminders
Even with organized views and filters, deadlines can slip when you’re handling multiple sales activities. To help with this, BoldSales offers Task reminder, so you never miss an important action.
To enable task reminder:
- Go to Setup > Automation > Notification Rules.
- Turn on the Task reminder rule to get notifications before a task is due. By default, the reminder time is 15 minutes before deadline but you can customize the reminder time as needed. For more details, visit Updating tasks and event reminder time.
Connecting to your calendar
You can also connect your external calendar and sync tasks. This makes it easier to manage everything in one place while keeping both platforms updated.
