Introduction to Events

Events are scheduled activities that happen at a specific time and date, such as meetings, demos, or follow-up calls. In BoldSales, events help you plan and manage these time-bound appointments, so your team stays organized and aligned.

Note for non-admin users: If you don’t have access to manage Events, contact your BoldSales administrator to request the required permission.

Note for administrators: For managing permissions, refer to Understanding permissions in activities module.

Navigating to events

You can access all events from the left sidebar menu, go to Activities and select Events.

The events page allows you to view all the events in one place, create new events, apply filters to focus on specific items, edit existing events, and delete events.

You can also view events in the associated records’ details pages:

  1. Open the contact, company, or pipeline record.
  2. Go to its Events tab.
  3. View all events linked to that record and filter them using options like All, Ongoing, Upcoming, or Completed.
  4. Create a new event by clicking + event button, enter details, and save.
  5. You can also edit or delete existing events directly from this tab to keep everything up to date.

Key event details

When creating an event, fill in these essential fields to make it complete and actionable.

  • Title: A clear, descriptive name for your event.
  • Start date time and end date time: Define the date and time the event begins and ends.
  • Reminder: Set reminders so participants stay informed and plan adequately before the event.
  • All day: Enable if the event spans the entire day.
  • Meeting link: Add virtual meeting links (e.g., Microsoft Teams meeting).
  • Location: Specify the venue if it is offline meeting.
  • Participants: Add attendees from contacts and users.
  • Host: Assign the person responsible for the event.
  • Description: Include relevant details or agenda.
  • Associate records: Link the event to related items like pipeline records, contacts, or companies for better tracking.

How events help you stay organized

Managing multiple meetings, demos, and follow-ups can quickly become overwhelming in a busy sales process. Here is how events help you stay organized:

Calendar view

Visualize your schedule in a calendar format for a better planning and time management. This view gives you a clear picture of upcoming activities and helps you avoid scheduling conflicts

Filters

Filters help you focus on the most relevant events at any given time. Instead of scrolling through all events, you can quickly narrow down your view to what matters most, whether it’s your own events, ongoing events, or upcoming events.

To apply filters,

  • Click All events in the top-left of the Events page.
  • Select a filter such as My events, Ongoing events, Upcoming events, or Completed events.

Event reminders

When handling several activities, it’s easy to miss an important meeting or follow-up. Setting reminders ensures you stay on track for time-sensitive actions.

To set event reminders,

  • Click Setup from the left sidebar menu and navigate to Automation > Notification Rules
  • Turn on the Event reminder rule to get mail notifications 15 minutes before an event starts.

You can also set reminders when creating or updating an event so that you receive timely notifications from the external calendar and never miss an important action.

Connecting to your calendar

You can connect your external calendar to BoldSales and sync events. This makes it easier to manage everything in one place while keeping both platforms updated.

Frequently asked questions (FAQs)

What happens if I delete an event linked to a record?

If you delete an event, the event and its association with the record are permanently removed, but the record itself remains unaffected.
