Understanding views
Views in BoldSales help you quickly access and organize records across all modules such as Pipelines, Contacts, Companies, Products, and Sales Documents. You can switch between built in views provided by the system or create your own custom views using filters. This article explains how to access views, the built in views available per module, how to create and manage custom views, how filtering works, and how to edit, favorite, or set views as your default.
Accessing views
Although each module has its own entry point, the pattern is the same:
- Go to the relevant module from the left sidebar
- For example: Pipelines, Contacts, Companies, Products, or Sales Documents
- On the listing page, locate the Views panel on the left side.
Types of views
Each module includes its own set of built‑in views, followed by any custom views you create or that are shared with you.
Below is a clear breakdown of the built‑in views available in each module.
Pipelines
Built‑in views (only available in Deal Tracking and Renewal Management pipelines):
- All Records – Shows every pipeline record that you have access to in that pipeline.
- Closing this month – Shows all pipeline records that have an expected closing date within the current month and that are not yet closed.
- My Records – Shows pipeline records assigned to you.
- My Records closing this month – Shows your assigned records that are expected to close within the current month and that are not yet closed.
- My collaborative Records – Shows pipeline records where you are included as a collaborator.
- Won this month – Shows all pipeline records marked as Closed won within the current month.
- Lost this month – Shows all pipeline records marked as Closed lost within the current month.
- Needs follow‑up – Shows pipeline records where the last activity was an outbound email or call, and no interaction has occurred in the past 30 days.
For Order management, Contract processing, and other pipeline types, the only default view available is All Records.
In place of Records, the actual pipeline’s multiple records name will appear. For example, in the Deals pipeline, the views will be All Deals, My Deals, My Deals closing this month, and My collaborative Deals.
Contacts
Built‑in views:
- All Contacts – Shows every contact you have access to.
- My Contacts – Shows contacts assigned to you.
- New Contacts – Shows contacts that were created in the last 30 days.
- Recently modified Contacts – Shows contacts whose Modified on date falls within the last 30 days.
- Never contacted – Shows contacts with no outbound conversations (email sent or outgoing call).
- Unassigned Contacts – Shows contacts without an owner.
- Needs follow-up – Shows contacts whose most recent interaction was an outbound email or call more than 30 days ago and who have not responded.
Companies
Built‑in views:
- All Companies – Shows all company records in the system that you have access to.
- My Companies – Shows only the companies where you are the owner.
Products
Built‑in views:
- All Products – Shows every product you have access to.
- My Products – Shows products assigned to you.
- Active Products – Shows only products that are currently marked as active.
Tasks
Built-in views:
- All tasks – Shows every task you have access to.
- My tasks – Shows tasks assigned to you.
- Overdue tasks – Shows tasks that have passed their due date.
- Upcoming tasks – Shows tasks scheduled for future dates.
- Today’s tasks – Shows tasks due today.
- Completed tasks – Shows tasks that have been marked as completed.
- Collaborative tasks – Shows tasks in which you are a collaborator.
Sales documents
(Quotes, Contracts, Invoices - each document type has its own views)
Quotes
When you select Quotes, the following built‑in views will be available:
- All Quotes – Shows every quote you have access to.
- Recently approved – Shows quotes that were accepted in the current week.
- Waiting for customer – Shows quotes whose Status is Sent to customer.
- Today expiring – Shows quotes whose Expiry date is Today.
- Declined – Shows quotes whose Status is Declined.
Contracts
When you select Contracts, the following built‑in views will be available:
- All Contracts – Shows every contract you have access to.
- Recently approved – Shows contracts that were accepted in the current week.
- Waiting for customer – Shows contracts whose Status is Sent to customer.
- Today expiring – Shows contracts whose Expiry date is Today.
- Declined – Shows contracts whose Status is Declined.
Invoices
When you select Invoices, the following built‑in views will be available:
- All Invoices – Shows every invoice you have access to.
- Recently approved – Shows invoices that were accepted in the current week.
- Waiting for customer – Shows invoices whose Status is Sent to customer.
- Declined – Shows invoices whose Status is Declined.
When you create a new document type, it will only include the All [document type name] view by default. If you clone a document type from Quotes, Contracts, or Invoices, the new type will automatically inherit all the built‑in views from the document type it was cloned from.
Built‑in views cannot be edited or deleted. However, users in the Admin permission set can modify the Columns to display, Sort by, and Sort order options for built‑in views.
Custom views
To create a personalized view with filters:
- Go to the relevant module from the left sidebar e.g. Contacts, Companies, Products, Pipelines and Sales documents.
- Locate the Views panel on the left side of the module’s listing page and click Create.
- A Filter drawer opens. Choose how the view should match and fetch records:
Match all – Records must meet all conditions.
Match any – Records must meet at least one condition. - Select a field from the dropdown and choose an operator.
- Add more filters using Add condition or create another group using Add Group with And/Or logic between groups. A maximum of two groups is allowed.
- Click Apply to preview the results of the filter.
- If the filter matches the need, click Save.

You can also create a custom view directly from the
button. When the filter drawer opens, add your conditions and set the matching logic, then click Save as.
- After clicking Save, a Create View dialog will appear. Enter the following details:
View name – The name of this view.
Choose columns to display – Choose the columns (fields) to be shown for this view.
Sort by and Sort order – Sorting options allow you to choose a field to sort the companies and specify the order (ascending or descending) for this view.
Primary summary to display – Select the summary category to be shown at the top of the view. The available options are:- Open – Displays records that are currently active or in progress.
- Won – Displays records that have been successfully closed.
- Lost – Displays records that were closed unsuccessfully.
This option is available only for Pipeline views.
Share with:
Only me – Visible only to you.
Everyone – All users can access.
Users/Teams – Share with specific users or teams.
- Click Save to finalize.

Note for non-admin users: If you don’t have access to Share with specific users/teams or Share with everyone for the respective module, contact your BoldSales administrator to request the required permission.

Column customization behavior

Go to any listing page such as Pipelines, Contacts, Companies, Products, or Sales Documents.

Click the Add or remove columns icon to open the Customize Columns drawer.

Quick selections - Provides predefined column selection options for faster setup.
- Default columns - Use this view’s default columns.
- Last saved - Use the columns you last saved.
- No columns - Deselects all columns except the default one

Column limit - You can select up to 15 columns.

Save options - Click the dropdown next to Save for Me option.
- Save for me - Saves the selected columns for your personal use.
- Save for all users - Saves the selected columns for all users.
Editing built‑in views
Built‑in views are system‑defined views and are available to all users. However, only users in the Admin permission set can edit these views.

Go to the relevant module from the left sidebar e.g. Pipelines, Contacts, Companies, Products, or Sales Documents.

Locate the Views panel on the left side of the module’s listing page.

Click the built-in view whose details you want to modify.

Click the action menu next to the view name.

Click Settings from the menu.

In the Edit Details dialog, users in the Admin permission set can edit only the following properties:
Choose columns to display - Select which fields appear as columns in the list (up to 15 columns).
Sort by - Choose the field to sort the records.
Sort order - Set the records to appear in ascending or descending order.
Built-in views cannot be renamed or deleted, and their filter criteria cannot be changed.
Editing custom views
Custom views can be created by users for advanced scenarios that are not covered by the built-in views. These views can also be shared with everyone or with selected users and teams. However, only the owner of the custom view can update the view.
- Go to the relevant module from the left sidebar e.g. Pipelines, Contacts, Companies, Products, or Sales Documents where the view exists.
- Locate the Views panel on the left side of the module’s listing page.
- Click the view whose details you want to modify.
- Click the action menu next to the view name.
- Click Settings from the menu.
- In the Edit Details dialog, you can update the available options if you are the view owner.
View name - The name that appears in the views list.
Choose columns to display - Select which fields appear as columns in the list (up to 15 columns).
Sort by - Choose the field used to sort the records.
Sort order - Set the records to appear in ascending or descending order.
Share with – Choose whether to keep the view private, share it with everyone, or share it with specific users / teams.
- Click Save to apply your changes.
Note for non-admin users: If you don’t have access to share views with everyone or with specific users/teams, contact your BoldSales administrator to request the required permission.
Note for administrators: For managing permissions, refer to Managing User Permissions (Permission Set)
Users who receive a shared view can use it but cannot make any changes. Only the owner of the view can edit it.
Editing view’s filter
- In the Views panel, click the view you want to edit.
- At the top of the relevant module listing page, click the Filter button.
- In the Filter drawer, update the field, operator, and value as needed.
- Add more filters using Add condition or create another group using Add Group with And/Or logic between the groups. A maximum of two groups is allowed.
- If you are the view owner, you will have the option to save the updated filter directly. Click Save to do it. The view will be updated with the new filter criteria.
- If you are not an owner or if you want to create a new view from this view, you can click Save as.
- Enter the required information and save it as a new view. You can follow the same steps you use when creating a new view to complete the process.
Marking a view as favorite
You can mark any built‑in view as a favorite so that it always appears at the top of your Views list.
- In the Views panel on the left, click the star icon next to the view name.
- The star will fill in, indicating it is now a favorite.
- To remove, click the filled star icon to unmark it.
Views marked as favorites are personal to you and do not affect other users.
Setting a view as the default
When you set a view as default, it automatically loads every time you open the module, even after you refresh the page, log out, or log back in.
Default views are personal to you and do not affect other users.
Set a default view from the views panel
- In the Views panel on the left, locate the view you want to set as default.
- Click the action menu next to the view name.
- Select Set as default from the menu.
Once set, the selected view becomes your new default. You can only have one default view at a time.
Setting a new default automatically replaces the previous one.
